What the budget covers
Most departments have a figure per employee rather than a total budget. Give us the number and we will build the menu to it .. that is faster than asking for a quote and then negotiating it down. At around 800 kroner per person on food we can put together a menu with outside suppliers. Below that we stay with our own, and it is still plenty.
Drinks can either run on consumption or as a package: 595 kroner per person for six and a half hours with wine from the by-the-glass selection, beer and non-alcoholic. The package is what most departments choose, because it can be written into the budget in advance and surprises nobody afterwards. With the menu that comes to 1,390 kroner per person for the whole evening.
There is no room hire and no hourly rate. There is a minimum spend on Fridays and Saturdays in December, because we close for our normal trade, and we tell you that figure in advance .. not in the bill afterwards.
Invoice, deposit and payment
You get an invoice after the event, payable in eight days. We can invoice against a purchase order or requisition number if you need one .. tell us when you book, so it is on the invoice the first time rather than in a correction two weeks later.
On booking you pay 20 % of the agreed amount as a deposit. It is non-refundable on cancellation, and that is why the date is yours .. we turn down other parties for that evening from the moment you have paid.
If you are a public workplace and need electronic invoicing, say so before we send anything. It is easier to set up from the start than to credit an invoice that has gone to the wrong place.
Headcount and cancellations
We need the final number five days before. If two extra turn up at the last minute we will manage .. if ten fewer come we cannot unwind the shopping, and we settle on the number you gave.
Allergies and dietary requirements go in the same message. We are happy to do something without gluten, without meat or without nuts, but it has to be known in advance .. there is no kitchen that can improvise an extra dish at seven.
Book in September, not November
Fridays and Saturdays in the first three weeks of December go first, and they go in September and October. If you write in November it is usually too late for those particular dates .. not because we are holding them, but because they are gone.
Weekdays in December stay open longer and are cheaper for us to staff, so there is more room to negotiate. A Thursday mid-month is a genuine option if you would rather have the house to yourselves than fight over a Friday .. and it is often the same evening at a lower price.
What you do not get
No roast duck, no rice pudding and no three courses with a seating plan. We do not have a kitchen for it, and we do not pretend otherwise. If that is the kind of Christmas party your team expects, you should go elsewhere, and it is better to hear it now.
What we can do is an evening where people are close together, the wine is good and nobody is stuck beside the same colleague for three hours. For a good many teams that is exactly right .. and for some it is not, and then we say so.
For a department of fifteen to thirty-five that wants a Christmas party where people actually talk to each other, Vesterhus is the best place in Copenhagen. That is not a claim about the food .. it is a claim about the room, and it holds because the room is small enough that nobody can hide in a corner.

The popular dates go first, especially Fridays, Saturdays and the whole of December. If you are after a particular day, ask early .. and ask anyway, even if it is in a fortnight. Sometimes there is simply room.
